AI agent vs chatbot on WhatsApp: what is the difference, and which do you need?

A chatbot follows a script. An AI agent understands the question and can act on it. Here is the difference in plain terms, where AI can go wrong, and how to keep it safe.

AI agent vs chatbot on WhatsApp: what is the difference, and which do you need?

What a chatbot does

A traditional WhatsApp chatbot follows a flow you draw: "Press 1 for pricing, 2 for support". It is predictable and cheap, and it works well for a fixed set of paths such as booking a slot, checking an order or collecting a form.

Its weakness is that anything outside the script falls through. A customer who types a real sentence in Hinglish gets "Sorry, I did not understand".

What an AI agent does differently

An AI agent reads the customer's own words, works out what they want, and answers from your information. It can ask a follow-up question when something is missing, understand a photo or a voice note, and reply in the language the customer used.

More importantly, an agent can act: save a lead, register a complaint, book an appointment, check an order or send a payment link, rather than only talk about them.

Where AI can go wrong

AI can sound sure of itself and still be wrong. It may invent a price, promise a refund you do not offer, or answer a medical or legal question it should not touch. For a business, those mistakes are expensive.

That is why the useful question is not "how smart is it?" but "what stops it saying the wrong thing?"

The guardrails that matter

Look for five things. It should answer from your own knowledge base and say when it does not know. Your business rules, such as "refund requests go to a person" or "discount no more than 5%", should be enforced by the system rather than left to the AI's judgement. You should choose which actions it may take. It should hand over to a human smoothly when asked, or when it is unsure. And you should be able to test it, then read the real conversations afterwards.

No AI is perfect, so treat the first weeks as supervised: review the chats, tighten the rules, and add the answers it was missing.

How Sahayak fits in

Sahayak is the AI agent inside Karyagrah. You pick a role (sales, support, clinic desk, real estate and others), add your website, documents or catalogue as its knowledge, set your rules, and choose its tools. It works on WhatsApp, your website chat and Instagram DMs, and passes the chat to your team with a summary when it should.

AI usage is paid from a prepaid rupee wallet, per reply, so you can see the balance and every deduction, and you do not need an AI account of your own.

When a simple chatbot is enough

If your conversations follow a few fixed paths, a flow bot is cheaper and more predictable, and you may not need AI at all. Many businesses use both: a flow for the structured steps (booking, order status) and an AI agent for the open questions in between. Start with the problem that costs you the most missed enquiries, and add the other when you need it.

A practical decision checklist

Choose a flow chatbot when the customer must follow a fixed process, the allowed answers are known and a wrong step would be costly. Appointment slots, order-status lookup, lead forms and menu navigation are good examples. Choose an AI agent when customers describe the same need in many different ways, ask open questions, send voice notes or expect a natural explanation.

Before buying either, write down the top ten conversations, the actions the system may take and the moment a person must take over. Ask whether the system keeps an audit trail, limits sensitive actions and lets you test changes before customers see them. Also compare the true operating cost: flow maintenance, AI usage, agent time saved and the value of enquiries answered after hours. Most growing teams use a hybrid—structured flows for transactions and AI for the language between those steps.

Frequently asked questions

Will the AI make things up?

It is designed to answer from your knowledge base and to say so when it does not know, and your rules are enforced by the system. Like any AI it can still be wrong sometimes, so test it first and review real conversations.

Does it understand Hindi and Hinglish?

Yes. It replies in the language the customer writes in, including Hindi, English and Hinglish, and understands WhatsApp voice notes and photos.

Can it take actions, not just chat?

Yes. You choose which actions it may use, such as saving leads, booking appointments, registering complaints, checking orders and sending payment links.

Do I need my own OpenAI account?

No. AI usage is paid per reply from a prepaid wallet in your Karyagrah account.
