What is Karyagrah?

Your team answers customers from one shared inbox, a no-code bot and the Sahayak AI agent handle the routine questions, and campaigns, CRM, follow-ups, payments and billing all sit in the same place. It also covers Instagram, your website chat and calls.

Do I need a WhatsApp Business API account first?

You need a WhatsApp Business Account on Meta's platform, and we walk you through it: connecting your business number, verifying the webhook and keeping the access token healthy. Most teams are connected in a day. A number that is already on the regular WhatsApp or WhatsApp Business app can usually be moved over, and some can stay on the app too; ask us if you are unsure.

How long does setup take?

Creating the account takes minutes. Connecting your WhatsApp number depends on Meta's checks, which are often same-day. After that you can build a bot, import contacts and send your first template message in the same afternoon.

Is there a free trial?

Yes. You can start with a free trial, with no credit card needed. The Pricing page lists what the trial includes today.

Can one branch use more than one WhatsApp number?

Accepted Answer

Each branch uses one active WhatsApp number, so chats, reports, billing and notifications stay clean per location or team. To use more numbers, add more branches. You manage all of them from one login.

How does pricing work?

You pick a plan for your team size and limits, then switch on add-ons only for what you use, such as the AI agent, Instagram, a website inbox or the business modules. The Pricing page always shows the current prices, with discounts for longer billing cycles.

What is the difference between a plan, an add-on and a limit?

A plan is your base: team size, branches and storage. An add-on unlocks a feature, such as Instagram or the AI agent. Some add-ons raise a limit instead, such as extra team members or extra bots. Add-ons show in your billing history and on your invoices.

Are WhatsApp message charges included?

No. Meta bills WhatsApp conversation and template-message charges to your own WhatsApp Business Account, at Meta's rates. We never mark them up. Karyagrah's subscription pays for the software.

Do you give GST invoices?

Yes. Every paid plan, add-on, renewal and AI top-up gets a proper tax invoice with your GST details and the right CGST/SGST or IGST split.

How do renewals work, and can I cancel?

You can switch on autopay so your plan renews on its own, or renew manually; we send reminders before it ends either way. You can cancel any time and keep access until the end of the period you have paid for. The Refund & Cancellation Policy has the details.

What can the shared inbox do?

Everyone on the team sees the same conversations. You can assign chats, add internal notes, use quick replies and templates, see who is handling what, and tell at a glance whether the 24-hour reply window is still open.

What is the 24-hour window?

Accepted Answer

WhatsApp lets you send free-form messages only within 24 hours of the customer's last message. After that you need an approved template message. Karyagrah shows you the time left on every chat, and for scheduled messages it uses templates so a scheduled send never fails because the window closed.

Can I send bulk campaigns and drip sequences?

Yes. Send template broadcasts to your contact lists, or set up drip sequences that go out on a schedule. You can follow delivery and progress for every campaign.

Can I connect my own software through an API?

Accepted Answer

Yes. A REST API lets your CRM, website or billing software send text, template, media, interactive and WhatsApp Flow messages, read conversation history and list your flows. Signed webhooks tell your system about incoming messages and delivery updates. Keys are created in your dashboard, for one branch or for the whole company.

Does it support WhatsApp Flows and interactive messages?

Yes. Build buttons, lists and WhatsApp Flows (in-chat forms), validate them, and publish compatible flows to Meta from inside Karyagrah.

What is Sahayak?

Sahayak is the AI agent for your business. You choose a role, such as sales, support, clinic desk or real estate, add your knowledge, and it answers customers in their language, collects lead details, and hands over to your team when it should. It works on WhatsApp, your website chat and Instagram DMs.

Will it make things up?

Accepted Answer

It is built to answer from your own knowledge base and rules, and to say so when it does not know. Rules such as "refund requests go to a person" or "discount no more than 5%" are enforced by the system, not left to the AI. Like any AI it can still be wrong sometimes, so we recommend testing it in the Studio first and reviewing real conversations.

What can Sahayak actually do besides chat?

It can save leads to your CRM, register complaints as tickets, book appointments, check order status, share product cards from your catalog, send payment links and read live data from your own API or database. You decide which of these it may use.

How is Sahayak billed?

Accepted Answer

Sahayak is an add-on on your plan. AI usage is paid from a prepaid AI wallet in rupees: each reply, voice note or spoken reply uses a small amount, and you can see your balance and every deduction in your dashboard. You never need an OpenAI or other AI account of your own.

Which languages does it speak?

Accepted Answer

It replies in the language the customer writes in, including Hindi, English and Hinglish, and many other Indian languages. It also understands WhatsApp voice notes and photos your customers send.

What happens when a customer wants a person?

Sahayak steps aside and passes the chat to the right teammate with a summary. It stays quiet while your team member is handling the conversation.

Can Karyagrah reply to Instagram messages and comments?

Accepted Answer

Yes, with the Instagram add-on. Connect your Instagram Business account, and the same bots and Sahayak agent can answer DMs. Comment rules can reply publicly and send the commenter a private message automatically. Your team can take over any chat from the Instagram inbox.

Is there a time limit on Instagram replies?

Accepted Answer

Yes. Instagram, like WhatsApp, lets you message someone only within 24 hours of their last message. Karyagrah shows you when the window has closed, so you are never left guessing why a reply did not go through.

What about Facebook Messenger?

Messenger support is built the same way as Instagram: DMs, comment replies, takeover and chat lists. It is in early access while Meta approves the permissions it needs. Contact us if you would like to be among the first to use it.

Can I organise chats with lists and follow-ups?

Accepted Answer

Yes. Create your own coloured lists (for example Hot lead or Pricing asked), put a chat in as many as you like, and filter your inbox by list. You can also set a follow-up date on any chat, get a reminder when it is due, and schedule a message to go out later. WhatsApp, Instagram and Messenger each keep their own lists.

Can I call customers on WhatsApp from Karyagrah?

Calling is in beta. With Calling switched on for your number, agents can take incoming WhatsApp calls and place calls from the browser, with no phone needed. WhatsApp requires the customer to allow calls first. Karyagrah asks them for you, and they can allow it for 7 days or always.

Why can't I call a customer yet?

Usually because they have not allowed calls. Click Call, and Karyagrah shows where things stand and sends the request with one click. WhatsApp only lets you send that request within 24 hours of their last message, and allows one request a day. Business-initiated calls are also not available from numbers in some countries (US, Canada, Egypt, Vietnam and Nigeria). Customers can still call you.

Who turns Calling on?

Our team does, from the admin side, after checking your WhatsApp number is eligible. It needs a messaging limit of at least 2,000 on your WhatsApp account. Contact us to get it enabled.

Is there a CRM for leads?

Accepted Answer

Yes. Capture leads from chats, forms and campaigns, move them through your own pipeline stages, set follow-ups on a shared calendar, add tasks with due dates, and score and de-duplicate leads. Every follow-up shows up where your team will see it.

Can I sell on WhatsApp?

Accepted Answer

Yes. Sync your product catalog to WhatsApp, take orders in chat, send payment links (Razorpay, Cashfree, PayU or Stripe, on your own merchant account), book couriers such as Shiprocket and Delhivery, and update customers at every step from placed to delivered, including returns.

Can it run more than WhatsApp, such as appointments, staff and stock?

Yes. Optional business modules cover appointments and bookings, employees, attendance and shifts, payroll and overtime, inventory, tasks and field work, a staff kiosk, and members or students. Switch on only what you need; each one is a separate add-on.

Can I use it with my other tools?

Yes. There are ready integrations for Shopify, WooCommerce, Zoho CRM, Google Sheets, Google Calendar and Zapier. For anything else, use the REST API and webhooks.

Can I resell Karyagrah under my own brand?

Accepted Answer

Yes. White-label partners get their own branded portal on their own domain, set their own prices, onboard and manage their clients, and see earnings and billing in one place. You need a separate partner agreement, so please contact us for the details.

How is my customers' data protected?

Accepted Answer

Message content is encrypted at rest, and everything travels over HTTPS. Every company and branch is isolated from the others, access is controlled by roles, sensitive actions are written to an audit log, and WhatsApp's webhooks are signature-checked so only genuine traffic reaches your inbox.

Do you sell or share my data?

Accepted Answer

No. We do not sell your data or your customers' data, and we do not use it for advertising. We only share what is needed to run the service with providers such as hosting, payments, email and, if you use Sahayak, the AI providers that write the replies. The Privacy Policy lists them.

Question 36

Where is my data stored, and can I get it back?

Accepted Answer

Your account data and conversations run on our servers in Mumbai (Amazon Web Services, India). Uploaded files and database backups are stored in Amazon S3 in the US (N. Virginia). You can export your data at any time, and for 30 days after you end your subscription; after that it can be deleted. The Privacy Policy lists how long each kind of data is kept.
