Instagram DM and comment automation for Indian businesses: a practical guide

Why Instagram is now a sales inbox

For many Indian businesses, Instagram is where the first question arrives: "price?", "available in medium?", "COD?". The question often lands as a comment, sometimes as a DM, and it is easy to miss one while you are busy.

A missed Instagram question costs the same as a missed WhatsApp enquiry. The fix is the same too: answer the routine ones instantly, and make sure a person sees the rest.

What you need to get started

You need an Instagram Business account that is linked to a Facebook Page. Personal accounts cannot be connected. Inside Karyagrah you connect the account from the Instagram page with one login, and your DMs and comments start arriving in a shared inbox that your whole team can use.

Comment rules: reply publicly, continue privately

A comment rule watches comments on your posts for keywords you choose, such as price, cost or how much. When a comment matches, it can post a short public acknowledgement and send the commenter one private reply with the useful detail. The private reply moves the enquiry away from a crowded comment thread without exposing a price list or customer detail publicly.

Meta currently allows one private reply to a post, ad or reel comment within seven days of that comment. A private reply to a Live comment must be sent while the broadcast is still live. If the person replies to your private message, a normal messaging conversation begins and the standard messaging window applies. Keep comment automation predictable and rule-based because the first reply represents your brand in public.

Automating the DM conversation

Once the person is in your DMs, the same bots and the Sahayak AI agent that you use on WhatsApp can answer: share prices, ask for size or city, collect their details and book an appointment.

Set clear rules for what the bot may and may not say, and decide when it should step aside. When a customer asks for a person, or the question needs judgement, the chat can be taken over by your team from the Instagram inbox, and the bot stays quiet until you hand it back.

Mind the 24-hour reply window

Once someone messages your Instagram professional account, the standard messaging window generally lets your business reply for 24 hours after that person's last message. A comment-triggered private reply is a separate entry point: it can be sent once within seven days of the comment, but it does not give you permission to keep sending messages indefinitely.

Karyagrah shows when a messaging window has closed. When a customer is worth following up with, add a follow-up reminder and respond promptly if they message again. Do not try to work around the window with repeated automated messages; good automation respects both the platform rule and the customer's attention.

Do's and don'ts

Do reply fast to buying questions, keep public replies short, and let a person take over anything sensitive. Do keep lists such as Hot lead or Pricing asked, so follow-ups do not depend on memory.

Don't reply to every comment with the same line, don't message people who have not engaged with you, and don't let a bot argue with an unhappy customer. Automation should save your team's time, not stand between you and your customers.

Design automation customers will trust

Start with the five questions people ask most often and write a short, useful answer for each. Tell the customer when a reply is automated, offer a clear route to a person and never pretend that a bot has checked stock or an order when it has not. Collect only the details needed for the next step.

Test each rule with spelling variations and Hinglish before turning it on. Review unmatched messages every week; they show which new answer or keyword is worth adding. Track response time, conversations handed to a person and enquiries that become qualified leads. The goal is not to automate every sentence. It is to remove the repetitive delay while preserving human judgement where it matters.
