How to organise WhatsApp chats with lists, follow-ups and scheduled messages
When the inbox grows, memory stops working. A simple system with lists, follow-up dates and scheduled messages keeps every conversation moving.

The problem with a growing inbox
At ten chats a day you remember everyone. At a hundred, the customer who said "I will confirm tomorrow" is buried under fifty newer messages, and tomorrow comes and goes. Most lost sales are not refusals; they are follow-ups that nobody made.
Step 1: create a few lists
A list is a coloured label you attach to a chat. A chat can be in several lists at once. Keep them few and meaningful, for example Hot lead, Pricing asked, Waiting for payment and Customer.
In Karyagrah you create lists under Settings, in the Chat section, and apply them from the chat header. WhatsApp, Instagram and Messenger each keep their own lists, so they never get mixed up. Then you can filter the inbox to show only one list.
Step 2: put a follow-up date on every chat that needs one
A follow-up is a date and time, with an optional note such as "Call about the quote". When the time comes, the person who set it and the agent assigned to the chat get a reminder.
The inbox can filter by Overdue, Today, Tomorrow and This week, and sorts by the follow-up time, so your day starts with a list of exactly who to reply to.
Step 3: schedule messages instead of remembering
Some follow-ups are just a message at the right time. Schedule it from the chat. On WhatsApp the message is sent as an approved template, so it goes out even if the 24-hour window has closed by then. You can choose to skip it automatically if the customer writes first, so you never send "just checking in" to someone who already replied.
A simple daily routine
Start the day on the Overdue and Today filters and clear them. During the day, every chat that ends without a decision gets a list and a follow-up date before you close it. Before you leave, glance at Tomorrow. It takes a few minutes, and it replaces a lot of anxious scrolling.
Add ownership, not just labels
Lists describe the stage; assignment says who is responsible. Every active enquiry should have one owner, even when several teammates can see it. Define a simple handover rule for shifts and leave an internal note with the promised next step. That prevents two people from sending competing answers and stops a lead becoming everyone's job and therefore nobody's job.
Use saved replies for repeated facts, but personalize the opening line and the next action. Close or archive conversations that are genuinely finished so the working inbox reflects real work, not years of history.
Review the system once a week
Check overdue follow-ups, unassigned chats, first-response time and leads that have stayed in one list too long. Merge labels that mean the same thing and remove ones nobody uses. Sample a few won and lost conversations to see whether follow-ups were timely and useful. A small weekly review keeps the system simple; without it, even a good inbox turns into another pile of forgotten labels.
Choose a follow-up cadence customers can understand
Set the next follow-up from a real promise, such as after a quotation, before an appointment or when stock is expected, rather than choosing a random date. Put the reason in the reminder so another teammate knows what to say. When a follow-up becomes overdue, review the conversation before sending anything: the customer may already have purchased, opted out or received an answer elsewhere. Close completed work and reschedule only when there is a useful next step. Scheduled messages should support a genuine commitment, not become repeated nudges that ignore context or the WhatsApp messaging window.

Frequently asked questions
Can a chat be in more than one list?
Yes. A chat can be in as many lists as you like, and you can filter the inbox by any list.
Who gets the follow-up reminder?
The person who set it, and the agent the chat is assigned to.
Do scheduled WhatsApp messages work after the 24-hour window?
Yes, because they are sent as approved templates, which are allowed at any time.
Are lists shared between WhatsApp and Instagram?
No. Each channel keeps its own lists, so a WhatsApp chat and an Instagram chat never share one.
